Conference planning meeting, 11-12-08

Second meeting to plan the a2geeks conference. Sparse turnout, but everyone from the previous meeting with few exceptions had already excused themselves from the new time, due to business travel, exams, or scheduling conflicts with Wednesdays (the only night available for the room we requested in CSE).

• Secure regular meeting time and location

OK, so Wednesdays don't work, and CSE is a pain (both Jonathan and I parked in the rear lot, and didn't realize the second floor and up is locked after hours). After the meeting, we surveyed the adjacent EECS building, and the EECS 1222 lounge (next to the DB Cafe) is perfect, except I don't know how inconvenient this would be for other folks on central campus.

• Find program committee to line up speakers

Given our decision to focus on local speakers, we won't be doing a traditional CFP to find talks. Instead, we'll chase down the best folks we know, and set up a barcamp to be held at SPARK central early next month to find the rest.

• Decide a name for the conference

Until we get more people to help/brainstorm, "a2geeks tech conference" is a fine working name. We can name it something more aspirational like UIUC's "Reflections" conference if we get inspired later.

Thanks Dug. This looks like it is going to be an awesome event!

You indicate that the conference will be held on Engineering Campus, have
you made room reservations for the event? Space is very hard to come by,
especially during the day in the middle of a semester so you should make
arrangements early. That said, classroom space in EECS cannot be reserved
for Winter term until the end of January, after classes have been set, and
as I indicated above space is extremely limited. You may have another space
in mind so this may not be an issue but I thought I should share this
information with you now so that you can plan accordingly.

We're going to try to find alternate facilities on North Campus - I'll be meeting with Thomas Zurbuchen on Friday to discuss. With only local speakers, we have (a bit) more time to work this out.

We've also decided to go with the later date in March - M-Powered will have their hands full with their career fair, and we'll need all the time we can get to line things up.

Marketing

Name? Website? Flyers? Stickers? We'll try to find some design geeks to help with this now.

Funding

With only local speakers and donated space, this is again less of an issue than it might be - but we've also got commitment from CSE via Farnam and SPARK to help cover what we need.

Decisions

  • Conference to be held in March 2009. CSE reservations can't happen until January, so we're trying to find other options now also.
  • Zach Steindler, Matt Pizzimenti, Jonathan Duty to take over barcamp organizing from Dug Song, to help prep the community for a larger event and find more local speakers.
